Microgreens Business Planning With Microgreen Tracker

Harvest day does not move to fit your schedule, and a delivery date does not move to fit your harvest. When you grow microgreens for customers, that is the whole game: the right seed in the right tray on the right day, so the right amount is ready the morning someone is expecting it.

Microgreen Tracker is our grow-tracking web app, and its business side was built for exactly that job. It keeps your customers, orders, and trays in one place, counts backward from every delivery so you know what to plant today, and shows you what each tray really costs. Here is what that looks like in a real week.

What Can Microgreen Tracker Do for a Microgreen Business?

Microgreen Tracker is a grow-tracking tool and a production planner in one. It ties each customer order to the trays that will fill it, turns the order into a planting schedule, and tracks what every tray costs to grow, so the business side and the growing side finally live in the same place.

  • Customers and orders that sit right beside the trays that fill them
  • Planting plans that count backward from the day an order is due
  • Cost per tray, including electricity and overhead
  • Standing orders for the deliveries you repeat every week
  • Push notifications for watering, harvest day, and delivery day
  • Collaborator seats so a helper can log work without touching billing

Stop Piecing Your Business Together

We have been growing microgreens since 2018, and 150,500+ people now follow along on our YouTube channel. Three trays are easy to keep in your head. Thirty trays, four crops, and two customers who want delivery on different days are not.

That is usually when the system starts to sprawl: a notebook for sow dates, a spreadsheet for orders, a calculator for costs, and a sticky note for whatever you were about to forget. It is why we built Microgreen Tracker to follow our own grows in the first place. Here is what Niki A. wrote in our community group:

"The app is great! Just subscribed today and super excited to keep track on the app and get rid of all my pieces of paper! Thank you!"

If you are still deciding how to record your grows, our post on tracking microgreen grow data covers the basics that apply with or without an app.

Starting a Microgreens Business? Begin With the Simple Version

If you are just getting a microgreens business off the ground, a full business tool can sound like a lot. It does not have to be. Microgreen Tracker's guided setup has a Keep It Simple path that gives you a calm home screen and a plain task list: what to plant, what to water, and what is ready to harvest. No dashboards full of numbers on day one.

When your first customers and orders show up, switch the full toolkit on. It is one setting, nothing you recorded is lost, and the business side is waiting with your customers, orders, and cost per tray. Every microgreens business plan needs a production section: what you will grow, when you will plant it, and what it costs. This is where that section comes together. For the rest of the plan, including pricing, permits, and finding your first buyers, start with our Sell Microgreens Guide.

Orders That Tell You What to Plant

The business side has its own hub inside the app. Add a customer once, with their contact details, delivery day, and notes, and every order after that stays tied to them. Starting an order takes three questions: who it is for, what they want, and when they need it.

Amounts go in the way wholesale is actually quoted, in pounds and ounces, and each order moves from Pending to Growing to Ready to Delivered. The trays you plant for an order carry the customer's name on your dashboard, so one glance tells you which trays belong to whom and what is due Friday.

Selling the same boxes every week? Set them up once as a standing order and the schedule keeps itself filled, instead of you retyping the same order every Monday.

Orders in Microgreen Tracker plan the growing and carry no prices, so you can keep invoicing the way you already do. If you are still working out what to charge, see our post on pricing, permits, and starting a microgreen business. Selling to restaurants? See what chefs actually buy.

From Delivery Date to Planting Day

This is the feature we think matters most for a growing business. Different crops take different numbers of days to reach harvest, so working backward from a delivery date by hand means a lot of counting and a lot of room for a mistake. Microgreen Tracker does the counting for you. Every line on an order is counted back from one shared harvest date, so the slower crop gets planted first, the faster crop gets planted later, and everything is ready on the same morning.

The plan tells you how many trays each line needs and when to plant them, and one button sends the whole batch to the planting screen already filled in. You stay in charge of every decision. The app just makes sure you never have to do that math at 10 p.m. the night before a delivery.

A Thursday Order, Start to Finish

Say a local restaurant asks for radish and sunflower microgreens, delivered Thursday morning. You add the order in pounds and ounces, set the date, and the planting plan shows you how many trays of each crop to plant and which one goes in first, since sunflower takes longer than radish. One tap sends the batch to the planting screen. The trays show up on your dashboard with the restaurant's name on them, you get a push notification the evening before harvest, and on Thursday you harvest, weigh, and mark the order delivered. The harvest weight and tray cost are saved, so the next order starts with real numbers instead of guesses.

No order yet? Pick the day you want a tray harvested and the app works backward to the planting date, or use succession planting so a crop comes ready in steady waves instead of one big pile. When you are choosing seed for those plantings, our microgreen seeds hub and our post on buying microgreen seeds in bulk are good places to start, and microgreen seed from True Leaf Market is our default seed source.

Know What Every Tray Really Costs

Most growers know what a bag of seed costs. Far fewer know what one tray costs once the medium, the fertilizer, the electricity, and a share of the rent are counted in. Microgreen Tracker builds cost per tray from five parts: seed, growing medium, fertilizer, electricity, and overhead. That is the number you need before you quote a restaurant or decide which crop deserves more shelf space.

You enter your supply costs, your equipment wattage, and the expenses of being in business once, and the app does the math from there. Reusable grow mediums are spread across the grows they serve instead of landing on a single tray, which matters if you grow on a reusable silicone grow medium. Lighting is usually the biggest electricity draw, so our microgreen lighting guide is worth a read before you price anything. When a tray is harvested, its cost is saved with it, so your history stays honest even when prices change later.

Cost only means something next to what the tray produced. Grow Stats shows your lifetime harvest, your top crops, and your yield, so you can see which crops are earning their space. When your bookkeeper asks for numbers, they export to CSV or Excel. A reliable scale and good harvest tools keep those numbers trustworthy, and the harvesting tools we use are all in one list.

A Grow Room That Tells You What Is Due Today

A good plan only helps if it reaches the grow room. Every morning, Microgreen Tracker builds a task list from the state of your trays: what to plant, what to move on, what to water, and what is ready to harvest. Push notifications on your phone nudge you about watering, harvest day, and deliveries at the times you choose. Our watering guide covers the how, and the app helps you remember the when.

As your shelves fill up, barcode labels let you scan trays in bulk, so a whole rack can be watered or harvested in a few taps. If you like a physical marker too, our tray clip labelers pair well with it. And if you are adding shelves, our professional grow rack build guide walks through a full setup.

Bring in Help Without Handing Over the Keys

Hiring your first helper should not mean sharing your billing page. Microgreen Tracker has two roles: Owners control billing, invitations, and who is on the account, while Members get full access to the grow data. Every action is recorded under the person who made it, and collaborator seats are included in the plan price instead of charged per person.

Try the Whole App for 7 Days

Every new grower starts with a 7-day free trial of the complete app, including Grow Stats, cost analytics, and CSV and Excel export. Guided setup asks what you grow and configures your account before you ever reach the dashboard, with a Track Everything path for the full toolkit and a Keep It Simple path for a calmer start. It ends on the plan screen, where you pick a plan and add a card. Nothing is charged until the seven days are up, you can cancel any time from Settings before then, and everything you record during the trial stays on your account.

Plan Monthly Yearly Active trays Collaborator seats
Starter $3.95 $39.95 25 1
Grow $9.95 $99.95 100 3
Pro $19.95 $199.95 1,000 5

The plans are feature-identical. Above Starter you are simply adding tray capacity and collaborator seats, and seats come on top of the owner. Yearly billing saves about 16%.

Microgreen Tracker Business FAQ

Can Microgreen Tracker send invoices to my customers?

No. Orders plan your production and carry no prices, totals, or payment status, so you can keep invoicing the way you already do.

Is Microgreen Tracker good for beginners?

Yes. Guided setup includes a Keep It Simple path with a plain task list and a calmer home screen, and you can switch on the full toolkit, including the business side, whenever you are ready. Nothing you recorded is lost when you do.

What are active trays?

An active tray is a grow that is still in progress, from the moment you add it until you harvest it or mark it as failed. Once a tray is harvested, it stops counting against your plan and you get that space back to plant something new. Your harvest records and history stay on your account.

How many trays can I track?

Starter covers 25 active trays at a time, Grow covers 100, and Pro covers 1,000. Because harvested trays free up their space, those numbers are about how much you can have growing at once, not how many trays you can ever record.

Can my employees use it?

Yes. Each plan includes collaborator seats on top of the owner: 1 on Starter, 3 on Grow, and 5 on Pro. Members can work with the grow data but cannot manage billing or other members.

Does it work on my phone?

Yes. Microgreen Tracker is a web app that works in any phone or desktop browser, and you can install it to your home screen. It is not in an app store.

What happens when the free trial ends?

Your subscription begins on the plan you picked unless you cancel first, and cancelling before day seven means no charge. Starter is $3.95 a month or $39.95 a year. Each account gets one trial, and everything you recorded during it stays on your account.

Can I export my data?

Yes. You can export to CSV or Excel from your harvest history, tray data, an individual order, and the calendar.

Final Thoughts

A microgreens business depends on dates, orders, and numbers that are easy to lose track of by hand, whether you are planting your first tray or filling your tenth order. Microgreen Tracker puts them in one place, does the counting, and leaves every decision to you.
